Harvest price increase: check your renewal and options
A higher Harvest renewal? Check the full quote before comparing replacements. Seat prices are only part of the bill.
Checked 9 September 2026 · Written by Hour Cap, a time tracker for Xero billing.
Why can the total be higher?
Harvest lists usage charges for additional invoices, projects, clients and tasks alongside its seat prices. Its public pricing page does not give enough detail to calculate every usage charge.
Customers report sharp increases, but those are individual accounts, not a standard percentage increase. Use your own renewal quote.
Published plan prices
| Plan | Annual billing | Monthly billing |
|---|---|---|
| Free | US$0 for one seat and two projects | |
| Teams | US$9/seat/month | US$11/seat/month |
| Enterprise | US$14/seat/month | US$17.50/seat/month |
| Enterprise Plus | Custom quote | |
Prices are in USD, before usage fees and applicable taxes. Annual prices are monthly equivalents. Free also carries a notice that some feature usage may incur fees. Source: Harvest's pricing page.
Five Teams seats cost US$540/year on annual billing, or US$55/month on monthly billing, before extras.
Ask for these details before renewing
- Your old and new annual totals, with the same seats and tax treatment.
- Seat charges, included usage, chargeable quantities and unit prices.
- Any discount expiry, minimum commitment and cancellation deadline.
- Whether the quote changes if you keep only the features you use.
Ask Harvest to price your actual usage. Don't assume a headline seat price is your renewal total.
Would switching pay off?
Use one currency throughout. Enter full-year costs for your whole team, including usage and add-ons, with the same tax treatment.
Fill in every field with zero or a positive number to see the estimate.
- Annual subscription saving
- One-off switching cost
- First-year net saving
- Time to cover switching costs
Amounts are in your chosen currency. Negative savings mean switching costs more.
Switching cost = hours × hourly cost + one-off costs. Payback spreads annual savings across 12 months. It assumes costs stay steady and excludes any refund.
Keep the workflow you need
| You need | What to check |
|---|---|
| Time tracking only | Check free-plan project limits and exports before paying for billing features. |
| Xero invoices and retainers | Hour Cap Team supports both. Test your rates, descriptions and invoice totals. |
| QuickBooks and client payments | Verify both with the replacement. Hour Cap's accounting integration is Xero. |
| Expenses or native apps | Hour Cap is a web app focused on time billing. Confirm receipt handling and device support before moving. |
Hour Cap Team starts at US$10/month billed annually for 2 users, plus US$5/month per extra user. See all plans or compare five Harvest alternatives.
Harvest already copies invoices to Xero. Our Harvest + Xero guide explains what transfers.
Test one billing cycle before moving
Keep unpaid invoices separate from unbilled work. Check exports, run one representative invoice and agree a cutover date with your team.
Hour Cap has no direct Harvest importer. Keep your history exported, sync clients from Xero and recreate active projects. Follow the Harvest switching checklist.
